An appointment reminder should give the confirmed time, location or joining instructions, and a way to report changed plans. Below are ten complete templates to copy and adapt. Brackets mark fields to replace with actual details. Do not send cancellation instructions until you have checked the link or contact route.
Prepare the details before copying a template
Check the appointment status before completing the text. A reminder does not confirm a new request: it must refer to a genuinely accepted appointment. Use an unambiguous date and time, including the time zone for online meetings. For an on-site visit, include an address or entrance directions if the location is not obvious. For the first message after booking, with the address and how to change it, use our booking confirmation message templates.
- Confirmed date and time with the correct zone.
- Actual sender, location or joining instructions.
- Checked link and current cancellation deadline.
- A reply address or contact route the team monitors.
Keep only information needed to attend or report a change. Shared inboxes and phone screens may reveal the message to someone else, so avoid unnecessary health details or private meeting purposes. The business name and a neutral visit description can identify the appointment without describing the customer’s case. Make the sender recognisable so the message does not look like a random request to follow a link.
Three short reminders for confirmed appointments
The first three messages are concise and need no extra preparation. Select the version that suits the channel and your relationship with the customer. Avoid combining a reminder with a promotion for another service: the reader needs to recognise an existing appointment and take one relevant action.
- 1. Neutral reminder.Hello, this is a reminder of your confirmed appointment with [business] on [date] at [time], at [address]. If you cannot attend, check cancellation through [cancellation link] under the offer terms. For any difficulty, contact us through [contact route]. We look forward to seeing you, the [business] team.
- 2. Friendly short version.Hi [name], see you at [business] on [date] at [time]! Our address is [address]. If your plans changed, use [cancellation link] within the permitted deadline or reach us through [contact route]. Best wishes, [business].
- 3. Formal version.Hello, your confirmed meeting with [business] is scheduled for [date] at [time]. It will take place at [location]. Please report changed plans through [link or contact route] under the booking terms. Kind regards, the [business] team.
Each template explains what to do if plans change. If no self-service link exists, replace it with a real contact route and avoid promising automatic cancellation. Online booking principles explain the underlying process. A reminder should repeat the same rule the customer saw while booking rather than introduce a different deadline.
Three messages with preparation instructions
A preparation message should contain instructions approved for that service. Do not invent medical advice or new requirements from a generic template. If preparation is lengthy, direct the customer to checked instructions and keep the most important practical requirement in the message. The reminder’s job is to make an existing instruction easier to use.
- 4. Beauty salon.Hi [name], a reminder of your [neutral service name] appointment at [salon] on [date] at [time]. Address: [address]. Checked practical information is available at [instructions]. If you cannot attend, use [cancellation link] or [contact route] according to the offer terms. See you soon!
- 5. Online consultation.Hello, your online consultation with [business] is on [date] at [time and zone]. Join through [checked meeting link]. Before the call, test your microphone and prepare [agreed material]. If the time no longer suits you, use [cancellation link or contact route] under the offer terms.
- 6. Lesson or tutoring.Hi [name], your [subject] lesson is on [date] at [time and zone], at [location or joining route]. Please prepare [agreed materials]. If you cannot take part, let us know through [link or contact route] under the booking conditions. See you soon, [teacher or business].
Check that materials were already required when booking. A reminder is a poor place for surprise participation conditions. Use online consultation preparation for remote meetings; for lessons, identify the agreed materials without requesting complete private documents as an email reply.
Four templates for particular situations
A special situation needs a clear reason for the message. After a change, give the current date rather than treating the old confirmation as the only reference. When the appointment is close, do not present a late request as automatically accepted. The customer needs to understand where self-service ends and team review begins.
- 7. First visit.Hello [name], we look forward to your first visit at [business] on [date] at [time]. Find us at [address and entrance]. Information to read beforehand is at [instructions]. Send practical questions or changed plans through [contact route]; cancellation is available under the offer terms at [link].
- 8. After an agreed change.Hello, this reminds you of your new confirmed appointment: [date] at [time], [location]. This message concerns the appointment agreed after the change and replaces the previous date information. If you need help, use [contact route]. Current cancellation is available through [checked link]. Best wishes, [business].
- 9. On the meeting day.Hi [name], we are meeting today, [date], at [time] at [location]. Joining details: [address or checked link]. If getting there becomes difficult, reach us through [contact route]. The team will review the available next step under the appointment terms. See you soon, [business].
- 10. Before the cancellation deadline.Hello, a reminder of your appointment on [date] at [time] at [location]. If you cannot attend, self-service cancellation is available until [deadline with date and time] through [cancellation link]. After that, send a request through [contact route]; the team needs to review it. Kind regards, [business].
Do not send both the old and new reminder after rescheduling. Check that the current record replaced earlier details in your sending process. If the customer replies asking to change the service scope, that is not merely attendance confirmation. It creates a new decision requiring checks of availability and conditions.
Choose the timing and verify the appointment
Choose timing around your process rather than a supposed universal optimum. Allow time for preparation and cancellation within the permitted deadline. An additional message shortly before an online meeting can help joining, but should not repeat all earlier instructions. Review your own plan on a sample: was the content current, understandable and addressed to the right person?
Scroll the table sideways to see all columns.
| Timing | Content | Check |
|---|---|---|
| Before preparation | Instructions and location | Time for the required action |
| Before the deadline | Cancellation route | Current link and rule |
| On the appointment day | Brief joining details | Current appointment only |
Check cancelled and moved appointments again before sending. Technical dispatch confirmation does not prove that the customer read the message. If an address or channel is wrong, repair the contact instead of sending further copies. Our guide to a wrong email address on a booking explains how to confirm the correct contact before sharing appointment details.
Online booking cancellation explains links and deadlines. Avoid a refund promise unless that separate process has been verified.
Microsoft documents reminder timing and message content. This is another product’s configuration example, not a promise of SMS delivery in Meetlead. Microsoft: configuring email reminders.
Use the messages in your booking process
In Meetlead Bookings, prepare the offer, customer details and configured message templates associated with booking management. The app needs an active installation and an eligible plan. Do not assume SMS or arbitrary sending automation: check the actual channel and supported event before using a template. An account is needed for configuration; writing a message does not require one.
For a salon, the message needs to match the actual beauty salon schedule. A reminder does not extend the service, add a workstation or approve an exception. If a customer requests a change, record it for review instead of sending another identical template.
Questions about sending reminders
Sending a reminder is part of handling a confirmed appointment. Its meaning and the expected customer response need to follow the agreed process.
Must the customer confirm the reminder? Only if your process requires a reply and explains what it means. Do not add “reply YES” when your team does not handle that confirmation.
Should I use all ten templates? No. Choose the one that fits the situation and channel. Repeated identical reminders add messages without explaining a new action.
Can a message include sensitive details? Use only information needed to organise the visit. The private purpose of a meeting or detailed health information is unnecessary in an ordinary reminder.
