Evaluate AI Copilot suggestion quality from the proposed reply, not only whether an agent sent it. A rejected draft may contain useful facts, while a draft accepted after major editing does not prove that the original suggestion was good. This guide explains a review worksheet and reviewer calibration; the daily decision to send a reply manually is a separate stage.
What exactly are you reviewing in a Copilot suggestion?
The review unit is a draft tied to a specific customer message and the knowledge available at generation time. Preserve the text before editing and classify the agent’s correction. Reviewing only the final reply gives Copilot credit for work the person performed.
Consider the moment the draft was generated. If the customer supplied an important detail afterward, do not assess the earlier text as if the model already knew it. Record both moments and distinguish a draft becoming outdated from an original error. This helps determine whether the problem concerns answer quality or the use of suggestions in a conversation that changes quickly.
The intended scope is explained in AI in customer support; assess assistance to a person rather than an independent decision.
What to prepare before making a change
Collect several intents rather than only easy FAQs: service scope, an exception, ambiguous context and missing knowledge. Remove personal details from review material. Pair each suggestion with its source and required facts so the reviewer does not judge it from memory alone.
- The sample contains the draft before editing and the relevant customer message.
- The record identifies the active source and the fact needed to settle the question.
- Cases without a suggestion are recorded separately, without a fictional style rating.
- Agent edits are classified as fact, condition, scope, presentation or tone.
Build the sample by question category and possible consequence of failure. Opening-hours information and a promise to reverse a payment should not be grouped without a distinction. Keep suggestions needing only minor stylistic changes too: they show which edits reflect agent preference and which change the meaning. Do not retain complete private transcripts when a neutral excerpt provides enough review context.
A procedure your team can use
Use a small worksheet with five criteria and a simple scale: meets, partly meets or fails. Avoid weights and a single overall number at first. Two drafts with a similar average may differ critically: one is too long, while the other promises an unavailable refund.
- Factual accuracy.Check each price, deadline, name and condition against the approved source. A wrong fact fails regardless of the writing style.
- Completeness.Compare the draft with the customer’s intent. A missing necessary condition or half of a two-part question requires correction.
- Context relevance.Check the service and conversation stage. Do not reward an answer to a similar but different problem.
- Operating boundaries.Check for pretended execution, promises requiring unavailable authority and unnecessary disclosure of information.
- Useful presentation.Review clarity, tone and the next step. Judge length by what the customer needs, not a fixed sentence count.
For a partial result, identify the missing element. “Completeness: partial; missing the requirement to request a change before service starts” is actionable. “Could be better” is not.
Add the exact supporting passage for factual review. If the source does not settle the issue, record insufficient evidence instead of approving the claim because it sounds plausible or matches the reviewer’s past experience.
Repair source-content problems through knowledge base and FAQ editing rather than lowering every draft’s tone score.
Before using a citation in an AI reply, use the guide: AI source citations: does the document support each claim?.
A worked example and decision record
A sample draft says “Of course, we will switch you to the longer service at the same price”. The knowledge only confirms that a change can be requested. A corrected reply says “You can request a scope change; the team will check time availability and the conditions of the new service”.
The original fails factual accuracy and decision boundaries despite its polite tone. Scoring the edited reply as correct must not erase the suggestion’s failure.
Scroll the table sideways to see all columns.
| Item | Working record | How to check |
|---|---|---|
| Facts | The price is unconfirmed | Fails |
| Boundaries | The draft promises a team decision | Fails |
| Presentation | Clear and polite wording | Meets |
Show reviewers the corrected reply only after they record their draft assessment. Otherwise the edited version may make them remember a necessary condition as if it had been in the original. If the agent added a price from another source, classify that work as factual completion.
Do not credit Copilot for it or judge the model against information it lacked. The result should explain which edit made sending safe rather than merely whether the reviewer liked the final message.
Calibrate using the same drafts: each reviewer scores independently before you compare results. Discuss factual and permission disagreements before writing preferences. Keep one passing, one partial and one failing example as reference cases.
Do not decide a factual dispute by majority vote when the process owner can confirm the actual rule. Update the reference note if that rule changes.
Exceptions you need to handle
Do not equate acceptance with quality. An agent may accept after substantial editing or while under queue pressure. A useful draft may be rejected because the customer has already added a new fact. You need the actual content and context, not the click alone.
An unsupported promise, factual error or disclosure of another customer’s data prevents a positive result. Correct tone cannot compensate for customer risk.
Compare quality with the type of agent edit. Shortening an introduction is different from removing a false guarantee. You can manually record whether the draft was sent unchanged, edited for presentation, corrected factually or rejected.
These categories are a proposed way to understand draft work, not a built-in product metric. They also cannot establish time savings without separate measurement of the work involved.

Put the prepared process into practice
Copilot in Meet AI creates a suggestion for an agent to review and send manually. Missing reliable knowledge should not be replaced with invented facts. The app requires an active installation and an eligible plan; suggestions use the shared generation allowance. You can prepare the worksheet outside the system before collecting a sample.
Finish the review with an owned corrective action. If many drafts confuse two services, clarify their differences in the knowledge and assess a new sample of the same intents. If introductions are too long, agree on a writing standard with the team. Avoid redesigning the whole worksheet after one difficult conversation: stable criteria make the next set of results meaningfully comparable.
Before expanding sources, check which data belongs in chatbot knowledge so missing context does not lead to adding private records.
Practical questions and answers
These answers clarify how to introduce ai copilot suggestion quality and can help your team agree on the operating rules.
How many drafts should I review? Start with a sample covering important intents and risk levels. Do not call a small sample statistically representative; use it to uncover specific failures and agree on the standard.
Can AI evaluate another AI? An automated score may help sort material but cannot replace the policy owner. For prices, permissions and exceptions, a reviewer needs to check the approved source.
What should I do with the results? Choose a correction that matches the cause: source editing, a narrower expected scope or agent training. A rating report alone does not improve later suggestions.
