Gift voucher appointment booking combines two separate matters, even though the customer handles them in a single step. The voucher answers what someone has already paid for and under which conditions. The booking settles when your team will deliver the service and who is responsible for it. When both decisions happen at once, your calendar fills with appointments that the voucher in question cannot actually cover.
This guide walks through the redemption flow: which offer to make available to voucher holders, how to describe the scope, where the customer enters the number and when a date becomes confirmed. The examples use a fictional massage studio, but the same setup works for a salon, a dance school or a go-kart track. We do not cover selling vouchers or the technical handling of their codes here.
The voucher says what, the booking says when
Before you open bookings, name the three things you check for every voucher: which service or amount it covers, how long it is valid under the terms of sale and whether it has already been used. Only after those answers does a calendar slot make sense. The customer usually sees just an envelope with a service name, while your front desk needs to know whether that name still matches the current offer.
Trouble starts when picking a date is treated as proof that the voucher has been accepted. A customer books 90 minutes although the gift covered 60, or chooses a service the studio no longer provides. Your team then has to withdraw an appointment that looks confirmed. It is better for the form to collect a redemption request from the start rather than a finished promise.
Shopify documentation describes redeeming a gift card as entering its code at checkout, with the remaining balance usable across several orders. This illustrates payment handling in ecommerce and is not a model for tying a voucher to an appointment time. Shopify Help Center.
For scheduled services, a voucher code or number does not replace the decision about scope and time. When a customer reports that a voucher was rejected or the balance looks wrong, that is a separate problem, covered in our guide on a gift voucher that does not work.
Name the offers a voucher can be redeemed for
List every type of voucher you sell or have sold and assign each one an offer in your calendar. A voucher for a specific service leads to one offer. An amount-based voucher may cover several services, so decide which ones customers can choose themselves and which need a conversation first. Keep last season's names next to the new ones, because customers will quote whatever is printed on their gift.
Scroll the table sideways to see all columns.
| Voucher type | Offer in the calendar | What to check before confirming |
|---|---|---|
| Relaxing massage, 60 min | Voucher redemption: 60-minute massage | Voucher number and expiry date |
| Amount-based voucher | Amount voucher redemption | Chosen service and any top-up |
| Massage for two | Voucher redemption: visit for two people | Two treatment rooms free at once |
| Discontinued service | No self-service booking | Replacement agreed in conversation |
A dedicated offer for voucher holders has a practical advantage: you can give it different confirmation rules from a regular appointment and see at a glance which slots still need checking. You set duration, buffers and rooms exactly as for a normal service; for a realistic way to calculate them, see our guide to online booking for a beauty salon.
Service scope and top-ups without ambiguity
In the offer description, state plainly what redemption includes: the length of the service, the number of people and any extras. If the voucher covers one person and the customer wants to bring a partner, the second person is a regular booking, not part of the gift. For an amount-based voucher, name the services whose value fits within the amount and those that need a top-up paid on site.
The price shown in the offer is for information, so present it as the value of the service rather than an amount the voucher holder has to pay. When several people or several pieces of equipment are involved, set the price unit using the rules from our guide on per-person or per-booking pricing. That way the customer can see immediately whether the voucher covers everything or only part of it.
Where the customer enters the voucher number
Your booking form should collect the voucher number in a field that cannot be skipped. In Meetlead Bookings you can make the notes field required for a given offer and use the description to ask for the number and the name of the person who bought the gift. Meetlead does not sell vouchers or check their codes, so your team verifies the number against its own sales records.
"Use this offer to redeem a voucher for a 60-minute massage. Enter the voucher number in the notes field. We will confirm the date after checking its validity; until then your booking is awaiting a decision. Any top-up for a longer service is paid on site."
Do not ask for a photo of the whole voucher if the number is enough. Less data means fewer copying mistakes and less information to store. If the customer does not know the number because the voucher came in an envelope without a code, suggest getting in touch via chat instead of guessing in the notes field.
Confirm only after checking the voucher
For the redemption offer, turn on manual approval and set a decision window. A request is then not a confirmed appointment until someone on your team has checked the number and accepted the date. Who covers the review, how long the decision may take and what happens when time runs out are covered in our guide to manual booking approval.
- Find the voucher in your sales records.Compare the number from the notes field with your own list of sold vouchers and check that it has not already been marked as used.
- Check validity and scope.Make sure the appointment date falls within the period in the voucher terms and that the chosen offer matches the service or amount.
- Approve or suggest a change. If everything matches, accept the booking. If it does not, decline it with a short explanation and point to the right offer.
- Mark the voucher in your records.Note the appointment date against the voucher so the same number is not accepted a second time for another request.
You carry out the last step outside the booking system, wherever you manage voucher sales. Decide who does it, because that step is what prevents double redemption. If the customer cancels the appointment, restore the voucher status following the same rules.
The post-holiday wave of requests
If you sell vouchers before the holidays, redemption requests may bunch up in the first weeks afterwards and again just before the vouchers expire. Check your own sales records for expiry dates and prepare before the first requests reach your calendar. The list below refers to a fictional massage studio and is a starting point, not a ready-made procedure for every industry.
- Every voucher type you have sold has an assigned offer or a "by conversation only" rule.
- The redemption offer uses manual approval and a required notes field for the number.
- Whoever reviews requests has a substitute for days off and holidays.
- The person approving dates has access to your voucher records.
- Two messages are ready: a redemption confirmation and a decline that suggests another offer.
If you take some slots for voucher holders and others for regular customers, avoid splitting the calendar rigidly. Offers using the same room should share its availability so that a voucher redemption does not take an hour already sold to someone else. Once confirmed, treat the visit like any other, including how you handle appointment reminders.
Questions about voucher redemption
Can the booking form check on its own whether a voucher is valid? Not in Meetlead: Bookings does not sell or validate vouchers, and the price in an offer is information, not a payment. You collect the number in a required field, and the person approving the date checks validity. If you need automatic code validation, it has to come from the system where you sell the vouchers.
What should you reply when a customer wants to redeem an expired voucher? Check the terms under which the voucher was sold and pass the case to the person who decides on exceptions. Do not confirm a date until that decision has been made. The legal consequences of expired vouchers depend on the circumstances of the sale; this article is not legal advice.
