WhatsApp Business profile best practices start with one fact: customers see the profile when they open a chat with you. When hours, description or address are missing, the same questions keep arriving: "Are you open today?", "Where exactly are you?", "Do you also do...?". This guide walks through five profile elements that most often replace those messages.
Costs and the choice between WhatsApp versions are covered in our guide to the WhatsApp Business app vs Platform and are left out here. We assume you use the app and want the profile to answer basic questions for you. Field names follow the WhatsApp Help Center, so they may look slightly different in your version of the app.
Five details customers check before the first message
A business profile in the WhatsApp Business app holds publicly visible details: name, address, category, description, email and website. The same screen is where you set business hours and a catalog. Five of these fields answer questions that would otherwise land in your inbox.
Scroll the table sideways to see all columns.
| Profile element | Question it replaces | What to enter |
|---|---|---|
| Business hours | Will anyone reply now? | The hours when you actually answer messages |
| Description and category | Do you do what I need? | What you do, who it is for and what you do not do |
| Address or service area | Where are you, and do you come to me? | An address with a map pin or your coverage area |
| Offer | Roughly what does it cost? | Your most requested services and a price range |
| Website and email | Where can I check the details? | A page that expands on the profile information |
The WhatsApp Help Center states that a complete and accurate business profile can reduce the number of messages you receive about things like your hours. It does not say how much the volume will drop for a particular business, so measure the effect in your own inbox. WhatsApp Help Center.
Before editing any field, go through your last thirty conversations and mark the questions the profile could have answered. If most of them ask how to get to you, do not start by polishing the description.
Business hours: when someone replies, not when the office is open
The WhatsApp Help Center describes three schedule templates: open for selected hours, always open, and appointments only. Pick the one that tells the truth about response times. "Always open" is tempting for an online shop, yet customers will read it as a promise that someone replies on Sunday evening too. If that is not the case, set real hours and cover messages outside them with an away message.
If you only see customers by appointment, that template is more honest than opening hours, because it does not send anyone to a locked door. Remember public holidays and vacations: outdated hours do more harm than no hours. Our guide to the contact page shows how to describe response hours outside the messenger, and the article on support while you are away covers what customers should see when nobody is available.
On the WhatsApp Business app page, Meta lists a business profile with helpful information in one place, along with greeting messages and replies sent while the business is away. The page does not define how quickly customers expect an answer, so that promise is yours to set. WhatsApp Business app.
Description and category: what you do, for whom and what you do not do
People read the description on a phone, often in a hurry, so the first sentence should say what you do and where. Phrases such as "professional and passionate" answer nothing. A second sentence can say who the offer is for, and a third what you do not do. That last one is often the most valuable, because it stops requests you would turn down anyway.
We repair city bikes and e-bikes in central Leeds. Small repairs without an appointment Monday to Friday, seasonal servicing by booking. We do not repair electric scooters. Prices and a repair request form are on our website.
You choose up to three categories from a list. Custom categories are not possible, so when nothing fits exactly, the Help Center suggests a more generic one or the category for other businesses. Put first the service customers know you for most, not the one you are still trying to grow. A separate About field takes your own text or a preset status; if you use it for a holiday notice, remove it when you are back.
Address, service area and contact details
You can pick your address from suggestions, which sets the map pin automatically, or type it manually. If customers never visit you, the Help Center describes an option for businesses without a physical location, with a coverage area instead. For a renovation crew or a mobile service, that is a better answer than a head office address someone might drive to.
Location notes help when the entrance is hard to find, for example "entrance from the courtyard, second floor". A service area answers whether you will travel to the customer. In the email and website fields, enter addresses someone actually checks. Instead of the homepage, you can link the contact or pricing page if that is where customers usually look for details.
Offer: catalog, price range and amenities
A catalog in the profile shows products or services without sending photos in every conversation. You do not need to upload everything. Start with the items customers ask about most, named in their words and with a note on what the price includes. For quote-based work, add what the cost depends on, because "price on request" alone triggers the same message as no information at all.
The Help Center also describes a price range field and a services section where you can mark payment and parking options. Customers of local businesses often ask about exactly these details. Catalog content should follow the service descriptions on your website; our guide to the service page shows how to find gaps using questions customers have already asked.
Keeping the profile consistent with your website
A customer who sees different hours in the profile and on the website will ask which ones are right. Mismatches usually appear after a change: new prices go on the website while the catalog in the app stays old. Treat one source as the master, usually the website, and update the profile right after it.
- Collect the website details.Note response hours, address, scope of services, prices and contact details from your contact and service pages.
- Compare field by field.Open the profile as a customer sees it and mark every difference, including the spelling of the name and address.
- Fix the master source. If the error is on the website, correct it there first, then in the profile and your other channels.
- Check linked accounts. If a Facebook Page or Instagram account is linked to the profile, make sure the details there are current as well.
- Schedule a review.Plan a regular profile review plus an extra one after every change to your offer or business hours.
Facebook and Instagram profiles need the same discipline, and our guide to customer service on Facebook and Instagram explains how to bring those channels into one inbox. Still, a profile cannot answer detailed questions such as how to prepare for a visit or how returns work. Those belong in articles on your website that the description can point to; we cover how to structure them in our guide to a knowledge base and FAQ on your website.
Meetlead does not connect to WhatsApp and does not edit your profile in the app. With Meetlead customer service, however, you can publish help articles in your website widget, with categories and language versions, and take the questions they do not solve in chat or through a form outside team hours. If you are deciding which channel should come first, see our comparison of WhatsApp Business and website chat.
Questions about the WhatsApp Business profile
Should I enter shop opening hours or message response hours? If they differ, response hours matter more, because the people viewing the profile are about to write to you. In that case, put the shop opening hours in the description or on your website and label them clearly. If both match, the question does not arise.
Why can't I see every field described here? The WhatsApp Help Center notes that updates to business profiles are being tested and may not be available to every account yet. Update the app and check again. Changing the profile name and picture through a Meta Verified subscription requires review and approval, and the Help Center notes that the feature may not be available in every region or to every business.
